We are seeking an experienced and motivated Space & Timetabling Team Leader to take forward the University's academic scheduling and space management functions. This is a senior, specialist role that plays a key part in supporting curriculum delivery, student experience, and the effective use of our estate.
About the Role Reporting to the Head of Estates & Engineering, you will lead the team responsible for delivering high‑quality, clash‑free academic timetables and for managing space utilisation across the University.
This role combines operational leadership with analytical expertise. You will oversee the full timetabling cycle, ensure data accuracy within timetabling systems, and produce reports to inform decision‑making on teaching space and resource use. You will also work closely with academic and professional services colleagues to ensure our timetabling service is responsive, collaborative and aligned with institutional priorities.
Key Responsibilities - Lead, support and develop the Space & Timetabling Officers, fostering a positive, high‑performing team culture.
- Manage the delivery of the annual academic timetable, ensuring alignment with curriculum requirements and space policies.
- Act as the senior escalation point for complex scheduling issues.
- Engage with Schools and professional services to gather requirements and manage change effectively.
- Oversee timetabling systems (e.g., Celcat), ensuring accuracy, compliance and system integrity.
- Produce analytical reports and insights on space utilisation and curriculum trends.
- Contribute to long‑term institutional planning on space optimisation and curriculum development.
- Lead service improvement work, identifying opportunities for innovation, efficiency and enhanced user experience.

About You You will bring substantial experience in academic timetabling, including team leadership and expertise in scheduling systems and data management. You will also have strong analytical capability, excellent communication skills, and the ability to build constructive, effective relationships across the University.
You will be confident in managing complex information, solving problems collaboratively, and leading service improvements that make a tangible impact. A commitment to high‑quality service delivery and continuous improvement is essential.
Essential Skills and Experience - Extensive recent experience in timetabling operations and team coordination.
- Advanced current knowledge of timetabling systems and space utilisation analysis.
- Strong analytical, organisational and communication skills.
- Experience producing reports and insights for planning and decision‑making.
- Proven ability to work with academic departments, professional services and students to resolve scheduling challenges.
- Ability to lead, motivate and develop staff.
- SCQF Level 8 qualification (or equivalent) with evidence of ongoing professional development.
